Terms and Conditions

Hi and Welcome,

It’s great that you have now taken the step to begin your journey of reflection and change. To ensure that you are happy with our service, our terms and conditions are here for your reference.

1.     Confidentiality: All information provided to me will be kept confidential and all business ideas will not be disclosed to any third parties.

2.     Trustworthiness: In order that you may benefit from the sessions we need to establish a comfortable degree of trust between us. You can trust me to work alongside you, to help, challenge you where necessary as well as remain compassionate and considerate. I trust that you will engage, be honest, take action, try, review and learn from the things we talk about and your actions.

3.     Honesty: You can count on me to be honest and straightforward in asking questions and making requests. It is important for us to be able to speak honestly and openly with each other, as this will enable the sessions to move more successfully towards your goals.

4.     Timeliness: Scheduled meetings and calls are booked in advance. If you cannot keep a meeting please let me know in advance and we can always reschedule. Cancelling at short notice (within 48 hours of the booked session) means I am unable to use that session for other clients so please let me know as soon as possible. I cannot issue refunds if you cancel with less than 48hrs notice.

5.     Commitment: My role as your Next Step Navigator is to listen and ask effective questions and give suggestions. It is important that we both recognise that I cannot solve your problems. The aim is for me to teach you how to work through them yourself using me for support and guidance.

6.     Sessions: This is not advice, therapy or counselling. These sessions may address specific personal, business, or general conditions in your personal or professional life. As your Next Step Navigator, I will provide suggestions and you agree to be accountable and take responsibility for the decisions and actions you take.

7.     Email Support: This is not advice, therapy or counselling. Email support answers may address specific personal, business, or general conditions in your personal or professional life. As your Next Step Navigator, I will provide suggestions and you agree to be accountable and take responsibility for the decisions and actions you take.

8.     International: Clients outside of the UK are accepted but please note that any legal dispute or/and action regarding my coaching services will need to be lodged in England.

9.     Age: You must be aged 18 years or over.

1. Who We Are

This Privacy Policy applies to Next Step Navigator, a sole trader business providing career coaching services and digital tools for women working in the UK NHS, charity and education sectors.

Trading name: Next Step Navigator

Website: nextstepnavigator.co.uk

Contact: hettielistens@gmail.com

We are committed to protecting your privacy and handling your data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What Data We Collect and Why

2.1 The CV Reviewer Tool

When you use our Smart CV Reviewer tool, you paste text from your CV, cover letter or personal statement into the tool. This text is submitted directly to Anthropic PBC's AI service (Claude) to generate feedback. Please be aware of the following:

  •  Next Step Navigator does not receive, store, log or retain the text you paste into the tool.

  •  The text is transmitted securely over an encrypted (HTTPS) connection directly to Anthropic's API.

  •  Anthropic PBC may retain API inputs for a limited period (currently up to 30 days) for safety and quality assurance purposes, in accordance with their own privacy policy, available at anthropic.com/privacy.

  •  We strongly advise you to remove all personal details — including your name, address, phone number, email, employer names and the names of any colleagues, patients, pupils or service users — before pasting your document into the tool.

  •  You are responsible for ensuring that any text you submit does not contain personal data relating to third parties.

2.2 Access Codes

When you purchase access to the CV Reviewer tool, you are issued a unique personal access code. We retain a record of which codes have been issued and to which purchaser. This is necessary to fulfill your purchase and is processed on the legal basis of contractual necessity.

2.3 Purchase Data

When you purchase a product through Payhip, your payment and purchase data is handled by Payhip in accordance with their own privacy policy. We receive notification of your purchase and your email address in order to fulfil your order. We do not store payment card details.

2.4 Email Communications

If you join our mailing list or contact us directly, we will store your name and email address in order to send you relevant communications. You can unsubscribe at any time by clicking the unsubscribe link in any email or by contacting us directly. We will not share your email address with third parties for marketing purposes.

3. Legal Basis for Processing

We process personal data on the following legal bases under UK GDPR:

  •  Contractual necessity — to fulfil your purchase and deliver access to our tools and services.

  •  Legitimate interests — to maintain records of access codes issued for fraud prevention and licence management.

  •  Consent — where you have opted in to receive marketing emails from us.

4. Third Party Services

This tool relies on the following third-party services, each of which has its own privacy policy:

  •  Anthropic PBC (anthropic.com/privacy) — AI service that processes document text to generate feedback.

  •  Payhip (payhip.com/privacy) — payment processing and product delivery platform.

We are not responsible for the data practices of these third parties. We encourage you to review their privacy policies before using our services.

5. How Long We Keep Your Data

We retain purchase records and email addresses for as long as necessary to fulfil our legal and contractual obligations, and for no longer than 3 years after your last interaction with us, unless we are required to retain them for longer by law. You may request deletion of your data at any time (see Section 7).

6. Cookies and Local Storage

The CV Reviewer tool uses your browser's local storage to remember your access code so that you do not need to re-enter it on each visit. This data is stored only on your own device and is not transmitted to us. No tracking cookies are set by Next Step Navigator.

7. Your Rights

Under UK GDPR, you have the right to:

  •  Access — request a copy of the personal data we hold about you.

  •  Rectification — ask us to correct inaccurate or incomplete data.

  •  Erasure — ask us to delete your personal data, subject to our legal obligations.

  •  Restriction — ask us to restrict how we process your data in certain circumstances.

  •  Portability — receive your data in a structured, commonly used format.

  •  Object — object to processing based on legitimate interests.

  •  Withdraw consent — where processing is based on consent, withdraw it at any time.

To exercise any of these rights, please contact us at [YOUR EMAIL ADDRESS]. We will respond within one calendar month.

8. Refund Policy

Our digital products are generally non-refundable once access has been granted. Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, consumers purchasing digital content online have a 14-day right to cancel.

However, by entering your access code and using the CV Reviewer tool, you expressly consent to the immediate supply of digital content and acknowledge that you lose your right to cancel once access has been provided.

Exceptions may be made at our discretion in the following circumstances:

  •  The tool was not accessible due to a technical fault on our part.

  •  You were supplied with an incorrect or non-functioning access code.

  •  The product was materially different from its description.

To request a refund under the above circumstances, please contact us within 14 days of purchase at hettielistens@gmail.com with your order details.

9. Complaints

If you have a concern about how we handle your personal data, please contact us in the first instance. If you remain unsatisfied, you have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK's data protection supervisory authority, at ico.org.uk or by calling 0303 123 1113.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on our website with a revised effective date. We encourage you to review this policy periodically.
